Productivity &

Time Management

1️⃣

The Pomodoro Technique

Purpose / Benefit:

Improves focus and reduces mental fatigue by working in short, timed intervals (typically 25 minutes of work followed by a 5-minute break).

Example Use:

Set a timer for 25 minutes, work with full focus, then take a 5-minute break. After 4 rounds, take a longer break (15–30 minutes).

2️⃣

The Eisenhower Matrix

Purpose / Benefit

Helps prioritize tasks based on urgency and importance, so time is spent on what truly matters.

Example Use

Sort your to-do list into 4 boxes:

1. Urgent & Important,

2. Not Urgent but Important,

3. Urgent but Not Important, and

4. Not Urgent & Not Important.

Focus first on Important tasks.

3️⃣

The Pareto Principle (80/20 Rule)

Purpose / Benefit:

Encourages focusing on the 20% of activities that yield 80% of results, maximizing productivity.

Example Use:

If you’re a freelancer, identify the 2–3 clients or tasks that generate the most income or progress, and give them more attention.

4️⃣

Time Tracking / Awareness Audits

Purpose / Benefit:

Reveals how you truly spend your time and highlights distractions or inefficiencies.

Example Use:

Use an app like Toggl for a week to track work, social media, meetings, etc. Review and adjust accordingly.

5️⃣

Energy Management

Purpose / Benefit:

Instead of only managing time, focus on aligning work with your natural energy peaks to maintain performance.

Example Use:

If you’re most focused in the morning, block out time for deep work before lunch. Save emails or admin tasks for low-energy periods.
